Donor Operations Supervisor

Position Summary:

The Donor Operations Supervisor position is responsible for gift processing functions through the lifecycle of the gift, including the oversight of transactional and constituent data flows. The Supervisor supports the maintenance of constituent and gift records in accordance with donor intention, best practices, and organizational procedures and processes. In addition, the Supervisor will manage the gift processing team and work collaboratively with multiple stakeholders across the ministry to provide efficient and accurate constituent and gift entry in a timely manner.

Duties and Responsibilities:

  • Supervise high volume gift processing functions through the entire lifecycle of a gift with a focus of entering into database in a timely and efficient manner.
  • Support proper stewardship of donor gifts, including accurate designations and timely acknowledgements.
  • Serve as primary liaison and support management of gift processing vendor functions and vendor relationship.
  • Coordinate data flow, imports, and exports from external vendors and multiple platforms, including e-commerce, caging, afterhours phone system, etc., including facilitation of daily donation data from caging vendor and schedule import(s) to the database.
  • Lead resolution of donor transactional issues and partner with frontline fundraising teams for timely response.
  • Supervise daily reconciliation of gifts processed.
  • Coordinate and distribute daily gift processing tasks whether with internal team or external vendor.
  • Oversee and coordinate retrieving incoming mail according to auditor regulations.
  • Partner with Accounting department to support, enforce, and monitor the safeguarding of gift-related data, and support in reconciliation of deposits, batch reports, annual audit, and coordinate month and fiscal year close.
  • Create/manage audit reports to validate accuracy of gifts entered into the system and provide support on data hygiene and integrity by performing routine audits, offering recommendations on best practices and updating constituent information.
  • Provide daily oversight to ensure team is properly allocated during peak gift processing.
  • Oversee gift adjustments on donor records and perform as needed.
  • Schedule, review, and coordinate daily acknowledgement files from database to fulfillment vendor.
  • Recommend and support implementation of areas for process improvement, including system and/or other technology enhancements to support more efficient gift processing.
  • Participate in CRM testing for system enhancements and upgrades.
  • Support maintenance of standard operating procedures to ensure they are current and accurate.
  • Remain current on industry best practices and new technology, data management principles, and tax/legal issues related to constituents and gifts.
  • Other duties as assigned.

Knowledge, Skills & Abilities Require/Preferred:

  • Organizational skills with a strong ability to multitask.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Office, donor database systems, and payment gateways.
  • Customer service with solution-oriented approach.
  • Commitment to professional ethics in working with highly confidential, sensitive information.
  • Team-oriented with an ability to work collaboratively with colleagues.
  • Mission focused with an appreciation and knowledge of donor-centricity and sound knowledge of fundraising principles.

Experience Requirements:

Demonstrated experience in donor/constituent record management, gift processing, business operations, and/or data management. Strong understanding of the goals and guiding principles of the fundraising profession and familiarity with databases and data management principles.

Education or Certification Requirements:

Bachelors’ Degree or equivalent work background.
