GIK Logistics Coordinator

Reports To:

Director of Administration and Logistics

Position Summary:

In liaison with the Director of Admin and Logistics, the GIK Director and the Inventory and Systems Supervisor, oversee the daily duties and activities of the GIK department such as preparing, staging, and scheduling outgoing donations in the Distribution Center or offsite.

Duties and Responsibilities:

  • Fully manage and maintain accurate, timing and detailed shipping and donation data and records in the system.
  • Manage and arrange all ocean freight and inland trucking of goods with freight forwarders and donors.
  • Closely monitor inventory levels in the Distribution Center to make sure capacity levels are not exceeded to avoid inventory flow bottlenecks.
  • Supervise outbound freight information by contacting carriers and consignees, making sure driver keep appointment times, get proper documents after loading and update the donation and shipment trackers as necessary.
  • Work closely with our freight forwarders to find alternative options for loads that are harder to secure (For example: time specific requests, shipping line requests, hazmat inspections, etc. ).
  • Follow up consistently the logistics processes of all shipments and inform management of any difficulties accordingly.
  • Under the guidance of the GIK Corporate Relations Officers maintain the highest professional and Christ like relationship with donors in relation to the of logistics processes.
  • Reviews documentation to ensure requirements by donors are met.
  • Perform other administrative duties and cover for teammates on PTO as required by the department Director’s team.

Knowledge, Skills & Abilities Require/Preferred:

  • Must have intermediate computer skills (Microsoft Office).
  • Knowledge of using and operating electronic and physical filing systems.
  • Proactive with strong follow-up skills.
  • Strong analytical and mathematical capabilities.
  • Demonstrate strong attention to detail.
  • Able to multi-task.
  • Ability to work independently, with little or no direct supervision, in an objective and honest manner.
  • Strong written and verbal communication skills.
  • High level of initiative and work well in a team environment.
  • Adhere to the highest degree of professional standards and strict confidentiality.

Experience Requirements:

  • Minimum 5 years of office, clerical experience.
  • Minimum 5 years cargo traffic/shipping/logistics/transportation industry experience.

Education or Certification Requirements:

  • Minimum Associate Bachelor Degree preferred.
  • Bilingual (English/Spanish) preferred.
